Assistify AI is a business application delivered by ConneXing LLC, a Texas-based company. All data processing and service responsibilities for Assistify AI are handled by ConneXing LLC.

This policy applies to organizations (such as HOAs or property management companies) that use Assistify AI to manage community communications, documents, events, and requests.

This policy does not apply to individual homeowners or residents, except to the extent their data is processed on behalf of the organization.

3. Information We Collect

We may collect and process the following information as part of delivering our services to your organization:

• Organization Information: HOA/company name, business contact details, authorized user names/emails, and onboarding details.
• Platform Usage Data: Interaction logs (such as questions submitted to the AI bot), event scheduling activity, document uploads/access, and administrator actions.
• Resident Data (as a Processor): Information about residents is only processed on behalf of, and as instructed by, the customer organization. We do not use this data for our own purposes.
• Technical Data: Device/browser information, IP addresses, log data, and cookies for security and platform performance.

4. How We Use Information

We use organizational and technical data to:

• Provide, maintain, and improve the Assistify AI platform for your organization.
• Support your HOA team's operations, including AI-powered request analysis and community management tools.
• Deliver requested features, troubleshoot issues, and enhance platform functionality.
• Generate aggregated and anonymized analytics to help your organization understand trends, sentiment, and system usage (never for external marketing or resale).

5. Data Processing on Behalf of Customers

When your organization uses Assistify AI to process resident or homeowner data, we act solely as a data processor/service provider on your behalf.

Your organization remains responsible for informing residents about the use of Assistify AI and ensuring compliance with any applicable data privacy regulations.

6. Data Sharing

We do not sell or share your organization's data with third parties, except:

• Service Providers: Trusted vendors assisting with cloud hosting, security, and technical support, under strict confidentiality obligations.
• Legal Requirements: Where required by law, regulation, or court order.
• Business Transfers: If ConneXing LLC or Assistify AI is merged, acquired, or sold, organizational data may be transferred as part of the transaction, subject to this Privacy Policy.

7. Data Security

We implement industry-standard security practices and controls to protect all data from unauthorized access, misuse, or loss.

8. Data Retention

We retain organizational and resident data only as long as required to deliver our services or as required by your contract and/or law. Upon contract termination, we will delete or return data as instructed by your organization.

9. International Data Transfers

If you use Assistify AI outside the United States, your organization's data may be transferred to and processed in the U.S.

10. Changes to This Policy

We may update this Privacy Policy from time to time. Any changes will be posted here. We recommend organizations review this policy regularly.
